Archiving, restoring and deleting workflows and documents in batch

In AGIR it's possible to archive, restore and delete multiple records at a time. This possibility is used usually in Workflow and Documents Modules, but you can also use it in Equipments Module to delete multiple equipment at once.


Note: In order to delete permanently records or documents, we have to archive them first. This is a way of preventing deleting accidentally any records or documents, thus is not possible to delete them permanently without archiving them first.


Follow the steps below to know how to proceed: 



Documents/process workflows Archiving


1. Go to the Workflows or Documents Module.



2. Pick one of the workflows or document categories that you wish to consult.



3. A list of records/documents corresponding to the category you chose will appear. In the example below, all existing workflow records are listed.


Click on the filter icon in the upper right corner of your screen. 



 TIP  In step 4, you can apply filters so that only records/documents with the properties you want appear. You may, for example, want to file records in the Closed status with an registration date between 2021/01/01 to 2022/31/12. Thus, it becomes easier to identify the records/documents that you want to archive.


4. In the Select field, choose the Archive option. Then, select the records/documents that you want to archive. You can select all of them or individually. After selecting the records you want to archive, click Confirm



5. Confirm the records you are archiving, and click Yes. The previously selected records were sent to the archive.







Restore records/documents


1. To unarchive records or documents, you will first have to access the list of archived records/documents. To do so, click on the filter icon and check Archived.


 


 TIP  In step 2, you can apply filters so that only records/documents with the properties you want appear. You may, for example, want to file records in the Registration status with an regristration date between 2022/01/01 to 2023/31/12. Thus, it becomes easier to identify the records/documents that you want to unarchive.


2. Then, in the Select field, choose the Unarchive option. Select the records/documents that you want to unarchive and click Confirm.



3. Click Yes, and the selected records/documents will be unarchived. 





Delete records/documents


1. To permanently delete records/documents, click on the filter icon and check Archived.


  

 


 TIP  In step 2, you can apply filters so that only records/documents with the properties you want appear. You may, for example, want to file records in the Closed status with an registration date between 2020/01/01 to 2020/31/12. Thus, it becomes easier to identify the records/documents that you want to delete permanently.


2. On the field Select, choose the Delete option. Then, select the intended documents/process workflows and click on Confirm.



3. To confirm the deletion of documents/process workflows, click on Yes. The selected documents/process workflows will be deleted. 


 ATTENTION   This action is irreversible! When records/documents are deleted, they cannot be restored.



Note: The workflow dependencies relate to links, tasks, attachments, permissões, etc...
