Starting a new document revision

Modified on Thu, 22 Dec, 2022 at 12:18 PM

This article explains how you can start a new document revision :)

Assuming that the document is at its final status - normally, approved or published, depending on how you named your workflow steps - to start a new revision cycle, you must change the document status to edition or similar.

Change the document status and start a new revision/edition

1. Open the document you wish to revise/edit.

2. Click on Change status and select the edition status (or similar). Click Change.

3. After that, select the next owner, thus who will do a revision/edit the document, and choose a deadline. The deadline is suggested depending on your workflow settings, but you may change it freely or accept the suggestion.

The document is now at the revision/edit step and can be edited by the next owner. This user will receive a new task by email.

PERMISSIONS  To change the status and start a new revision, you must have AGIR Administrator, Workflow Administrator, or Documents' Owner (if set up) permissions.
The Documents' owner is a user who already did a revision to the document in the past. This setting is turned off by default, however, you can activate this feature by following this tutorial: Document owner - Benefits and how to use it
TIP  If you want AGIR to memorize and authorize the last revisors/editors to start a new revision, enable the Documents' Owner concept. If you need to limit this permission to Administrators, don't activate this feature.
