Creating a folder and subfolder structure is an easy way to organize your documents and set different permission levels.
In this article, we will explain how to manage viewing and editing permissions for document folders.
Note: If a user has viewing access to a folder, they can see all documents uploaded to that folder, regardless of any other permissions or workflow settings.
PERMISSIONS Only AGIR Administrators can create and manage folder permissions.
How to configure folder permissions
There are only two types of permissions when managing folders:
- Readers (Consultants) – Users who can access the folder and view its documents.
- Writers – Users who can add or remove documents from the folder.
IMPORTANT In this context, Writer only refers to the ability to manage the folder’s contents. It does not grant rights to edit, review, approve or delete documents. Editors can only add or remove existing AGIR documents within the folder.

Steps to set folder permissions
1. Right-click on the folder you want to configure and select Set Permissions.
2. Define user access:
- Select the list/group of users who should have reader access.
- Select the users who should be able to add or remove documents from the folder (Writers).

If the folder has subfolders, you can apply these permissions to all subfolders by selecting Apply consultant and editor permissions to all subfolders (2).
After selecting all the desired usears/groups, Save the changes.
IMPORTANT Folder Readers are typically assigned based on Groups.
Writers, being fewer in number, are always assigned individually.

Summary
- Folder Reader: Can view the folder and all its contents (documents).
- Folder Writer: Can view the folder and all its contents, and also add or remove documents from it.
TIP A document can be placed in multiple folders or none. Documents without an associated folder will only be accessible in the Document Workflow listings where they were uploaded, by Document Type, or via direct link.
