Edit mode on document properties explained

This feature allows you to define which users can change:

  • Document properties (name, code, type, folders, open by...);
  • Links (create and delete);
  • Attachments (create and delete);
  • Notifications (create and delete).


There are 4 options available:


Normal

Only users who are task owners in the document can change their properties (eg.: Drawer, approver), plus workflow managers and administrators (from workflow and AGIR). This is the default mode, so we recommend this mode to most workflows.


Extended

All users registered in the workflow as possible task owners can change their properties, plus workflow managers and administrators (workflow and AGIR administrators). 

It includes all users of Normal mode, plus other users that aren't the document task owners but are registered, as well as possible task owners.


Manager

Only workflow managers and both workflow and AGIR administrators can edit the document's properties. The current task owner may also change properties.


Free

All users can change properties as long as they are, at least, subscribers.


When you upload a document into AGIR, the default setting is Normal


To change the edit mode, follow the next steps:


1. Access the document's properties. In the option Edit Mode, select the desired mode.

2. Click on Properties, and then select the intended option on Edit mode. After finishing this step Save it.



 TIP  Use Normal mode for Quality Management System documents. The free and extended mode can be useful for operational workflows, as in this mode all users must collaborate on changes to the document's properties (example: Billing, Commercial management). The Manager mode can be useful when the manager intends to prevent the editor/approver from changing the document's properties after the edit/approval step execution.
