Workflows module explained

The Workflows Module has several filter options and registry views by workflow name, category, and other properties. 


This way, you can opt for the view that suits you best and that you consider more beneficial for your company.



You can sort your processes, filter by properties, customize filters and columns, search for any field, etc... Our search engine allows you to find any process easily.

You can print a list of your workflows and export it to Excel, CSV, PDF, and other formats.

Inside the workflow


Here we can see the workflow and all its info and history.



Pay attention to the caption to understand what each menu button does:


1. Dashboard: This button allows you to back to the main AGIR homepage.


2. New Workflow: Allows you to create a new workflow registry.


3. List of Workflows: This option gives access to the list of all workflow registries.

 

4. Switch versions: When we click this button, we can switch between different workflow versions (the LITE version is shown in the image above). To know how to change the Workflow version, check out this tutorial: How to convert workflows to the new LITE version.


5. Properties: This is where we can have access to the workflow's properties. To learn more about it, take a look at this article: Workflow Properties- General Concepts.



6. Tasks: Here you can create tasks, or add a checklist to the registry.



7. Attachment: You can add attachments of any format to complement the process, thus providing additional information to those who consult it.



8. Notifications: This is where you can define a list of users who will be notified by email. Check the following article to know how this feature can help you define who can access the process as a reader: Workflow notification- Why is it helpful and how does it work?


9. Links: You can create links to other documents, workflows, or external websites. To know more about links, consult this article:  Links in Workflows - Why is it helpful?



10. Timeline: The timeline tracks all actions or changes made to the process, providing us with a detailed list of changes. Through the timeline, we know who did something, how and when they did it, and why.


All you need to know will be available on the timeline. AGIR meets all the ISO 9001, ISO 14001, ISO 45001, ISO 17025, and many other standard requirements.

11. Subscribers: This is where you can manage users who have access to the process/record. Consult the article Configuring workflows' permissions to know more about all the options you have for distributing data to your users, as well as managing the subscribers' list.



12. Save: Workflow changes done will be saved by clicking here.


13. Delegate: This option allows you to delegate the task to another user. 



14. Change deadline: This allows you to change the deadline for completing the task.



15. Change Status: As an admin, you can change a workflow's status. AGIR will ask you to provide a small justification clarifying the change so that change records are maintained in the workflow's history.



16. Submit: Once you're done filling in or editing the registry, you must submit the document in order to move to the next status. To do that, click on the submit button and choose the next owner (if applicable). 

Your task is now completed. An email will be sent to the next task owner, according to your workflow definitions.
