Tasks Module- How does it work?

The task module centralises all tasks in one place, allowing you to track them regardless of their module or origin. By default, this module shows the user's own tasks.

If you are an AGIR Administrator, you can also view and edit all users’ tasks.


If you are a group supervisor, in addition to your own tasks, you also have access to the tasks of the team members within your supervised group.


How to access the Task Module?


1. On the AGIR dashboard, you can click directly on the Task Module or access it from the side menu.





Which tasks can I view and what do they mean?


When opening this menu, AGIR displays a table of pending or overdue tasks under your responsibility. You can then filter tasks using quick filters (New Tasks, Pending, Overdue, On Schedule, Completed, or Issued by me).



New task

Refers to a task you have not yet viewed in AGIR. Once consulted, the task no longer appears in this quick filter.


Pending

Refers to an incomplete task where the start date is earlier than today. This is a task that can already be carried out according to the scheduled dates, but is not yet overdue.


Overdue

Refers to an incomplete task where the end date is earlier than today. This task should have already been carried out according to the scheduled dates.


Planned

Refers to an incomplete task with a start date later than today. According to the scheduled dates, it is not yet time to perform the task – therefore, it is planned.


Completed

Refers to a task that has already been completed.


Issued by me

As the name suggests, this includes tasks issued by the user.




Search


If you prefer, you can search for a task using the task search tool. This search is based on the terms/words present in the task table. It is not a global AGIR search (e.g., it does not search form fields).





Task filters and search


If you need to refine your search, an additional set of filters is available under the Filters and Reports menu.



This menu works similarly to other advanced filter menus in AGIR. It is made up of various cumulative filtering criteria.


Select the criteria you need. AGIR will automatically filter according to the active filter set.



 TIP  This module, by default, displays a list of pending and overdue tasks. There may be on schedule tasks in AGIR (which haven’t started yet and are scheduled for a future date). To filter on schedule tasks, filter the tasks list by Status or select the On Schedule task category.



Exporting task list to Excel


In the Filters and Reports menu, you can export the current task list/view to Excel by clicking the green Excel icon. If you want to export a specific list, apply the necessary filters and export the tasks afterward.



If you want to export all tasks from the task module regardless of the filters or current view, click the red Excel icon.




How to print the task list?


In the same menu, you can print the filtered task list to PDF according to the selected criteria. Just click the printer icon, as shown in the image below:




Who can view tasks?


There are three available levels of access, each corresponding to a specific icon:



1. Personal view

All users have access to their personal view. This displays tasks under their responsibility or tasks issued by them.


2. Supervisor view

Only supervisors of AGIR groups have access to this view. It displays all tasks of the group members they supervise.


3. Administrator view

Restricted to AGIR Administrators. This view shows all tasks from all users. Administrators can view, edit, and delegate tasks from this view. They can also delete tasks, provided they are standalone tasks (i.e., not linked to a workflow step).




What quick actions can I perform in the task module?


The task module is designed as a tool for quick and easy access to user tasks. Typically, the user should click on a task and carry it out in context.



There are four main possible interactions:



1. Open tasks

Click the to open the task and view/edit its details. You can also double-click the task row, which has the same effect.


2. Delegate

This command allows you to delegate the task to another user. This option is limited to AGIR Administrators, Workflow Administrators, and the task issuer.



3. Delete

This option is limited to AGIR Administrators, Workflow Administrators, or the task issuer (as long as it's a standalone task). Tasks that are part of a workflow/document step can only be deleted by deleting the respective workflow/document.


4. Flag

This option is available to all users. It allows you to flag the most important tasks, which will then appear at the top of your task list.
