The Tasks module combines all tasks in a single location, allowing you to track all tasks, regardless of the module or its origins. By default, this module shows the present user's tasks.
An AGIR Administrator can consult and edit all user's tasks.
A Supervisor of one group has access to any user's tasks from his employees' group, in addition to their own tasks.
How to access the Tasks Module?
1. Open the AGIR homepage and click on Tasks.
Which tasks can I consult and what is their meaning?
By opening this menu, AGIR provides a table with pending or overdue tasks that the current user owns at the moment. You can filter tasks using the quick filters (New Tasks, Pending, Overdue, On Schedule, Completed and Issued by me).
New Tasks
This filter shows you new tasks on AGIR that haven't been viewed or consulted yet. After consulting these tasks, they no longer belong to this quick filter.
Pending
These are unfinished tasks. Unfinished tasks contain a starting date that is earlier than today's date. These tasks are not overdue, as the deadline (end date) hasn't been reached yet, and they can be carried out at this time.
Overdue
These are unfinished tasks that remain unfinished after the deadline (end date) has passed. It's a task that, according to the scheduled dates, should have already been done.
On Schedule
These are unfinished tasks that contain a later starting date (later than today's date). It's a task that, according to scheduled dates, does not need to be done yet.
Completed
This filter shows all finished tasks.
Issued by me
As the name implies, it's a task emitted by yourself.
A task can also be found using the search tool, if preferable. The search is based on the frequency of word usage in the action tables. It is not a global AGIR search (ex: it does not search for form fields).
In case you need to narrow down your search, there is a set of additional filters on the Filters and Reports available for use.
This menu works as the other advanced filter menus in AGIR, as it is also composed of cumulative filtering criteria. Select the criteria that you need and AGIR will filter the search automatically, based on your selection.
How to print the tasks' list?
On Filters and Reports, you can print the filtered tasks' list in a PDF format using specific criteria. Click on the Printer icon as shown in the image below.
Who can view tasks?
There are 3 viewing levels available, each one corresponds to a particular icon:
1 - Personal View
All users have access to their own personal view. Users will see tasks that they are responsible for, or tasks emitted by themselves.
2 - Supervisor View
Only AGIR group supervisors have access to this view. By using this view they'll be able to see all the tasks belonging to the users in their group.
3 - Administrator View
The Administrator view is restricted to AGIR Administrators. With this view they'll be able to see tasks from all users. Administrators may also consult, edit and delegate tasks from here. He can also delete them if they are one-off tasks (tasks that do not belong to any workflow step).
Which quick actions can I execute on module tasks?
The tasks module was implemented in order to facilitate access to users' tasks. In most cases, the user should click on the task and execute them in its their owncontext.
However, there are 4 possible quick interactions:
1 - Open
Click on the magnifying glass icon to open the task and check or edit its data. Double-clicking the line also lets you open the task.
2 - Delegate
You can delegate the task to another user. This option is limited to AGIR Administrators, Workflow Administrators or the Task emitter.
3 - Delete
This option is only available for AGIR administrators, workflows administrators or task emitters, provided that it is a one-off task (does not belong to a workflow step). Any tasks that are linked to a workflow/document step can only be deleted by deleting the actual workflow or document.
4 - Mark
This option is available to all users. This feature allows you to mark the most important tasks, which will appear on the top of the tasks list.
