This article will briefly explain the differences between inactive and removed users on AGIR. Both options have distinct effects, which will be described throughout this article.
Understanding these differences is essential for effective user management in AGIR.
Inactive user
This option should be used when a user is temporarily away from the system (for instance, on vacation). When deactivating a user, AGIR will not assign any new tasks, nor suggest them as an intervenient at workflows/tasks/actions to which they'd usually possess permissions to.
This status can be managed by the user themselves (recommended), Staff Manager, or an AGIR Administrator.
Note: Deactivating users will not free up new licenses. The user remains in the system and continues to have access to AGIR, despite being unable to perform tasks.
How to deactivate a user?
To deactivate a user, follow these steps:
1. Go to the Staff Module.
2. Select the user to deactivate. You can double-click on the user or click on the pencil on the right.
If you are the user, click on the user name in the top right corner and click My Profile.
We can immediately see that this user is active by checking the status ball to the right of the user's name.
3. Go to the Employee Form tab and change the status to inactive as shown in the sequence of images below. At the end, save the changes by clicking on the floppy disk in the lower right corner (2).
4. The user is now inactive.
User removed
This option must be applied when a user is no longer part of the organization. By removing it, we are blocking their access to AGIR and freeing up a license. However, even when removing the user, all their history and information will be maintained and can be accessed through the filters in the Staff Module, as shown in the image below:
