How to customize the workflow listing/columns?

This article will teach you how to customize a workflow's list/columns, in order to show the most important and convenient properties in the columns.

The Workflow/registries list (Datagrid)


To customize the workflow list, follow the steps below: 


1. Open the workflow you intend to customize. You can reach it through the My Workflows module or through AGIR's dashboard.  



2. Click on your user name, and select the option Customize Dashboard.



3.  A metadata list will appear, containing the name of the field (the "Name" property in the workflow's designer tool). You may add any of these fields to the workflow list (Datagrid) as a column, or remove them as well by removing the check mark. List number (1) includes AGIR's default fields, as those are common to all workflows. List number (2) includes specific fields from the workflow.



4. Select the columns you intend to be shown on the workflow list (Datagrid). In this case, the chosen option was Deadline.



5. Here's the table with the column that was selected previously.



 TIP  After editing the table, don't forget to deactivate the Customize Dashboard feature (step 2-3).
By clicking on the arrow in the datagrid right side, you can expand the list's content (Image below).



Filtered search bars


When facing tens or hundreds of registries, finding the ones you need can become difficult. To make the search more manageable, the search bars feature has been developed to filter documents and their information.


In the case of Workflow Audits, the registries can be searched by Audit referential and company, as shown in the image below:



To add filtered search bars follow the next steps:


1. Click on the user name and select Customize Dashboard.



2. The Visibility menu will open. When scrolling down, you can see workflow-specific metadata between two checkboxes (left box and right box).



3. When you select the left box, the specific metadata column and filtered search bar related to that workflow's field will be added.



4. However, if you merely want to add a metadata column on Datagrid, simply select the right checkbox. This way the filtered search bar won't appear.



 TIP  As before, once you're done editing the table, don't forget to deactivate the Customize Dashboard feature on the right side menu (Step 1).
You can also customize a documents' folder list. Visit this article to learn how.


 ATTENTION  The table contents are automatically ordered. This means that the default AGIR fields (Reference, tasks, status, publication date, etc...) will be listed on the left side, while on the right side your workflow customized fields will stand, alphabetically sorted, according to the fields' name.
If you wish to change this order, you can "play around" with the fields' labels in the workflow's designer tool (add a numbered order to each relevant field for example), in order to organize it as intended.
It's not possible to change the columns length.
This customization will appear to all users, since it's a global customization of the workflow/folder.


 PERMISSIONS  To perform these changes, you must have AGIR Administrator permissions.
