Protect PDF documents from printing and extracting - PDF Encryption

Modified on Mon, 14 Aug, 2023 at 11:42 AM

Protecting PDF documents against printing is a crucial measure in today's digital world. This is especially true when it comes to managing and safeguarding sensitive information contained within documents. There are several reasons to consider applying additional protections to your PDF documents in AGIR.

  1. Sensitive information protection: PDF documents often contain sensitive information. Uncontrolled printing can lead to the unintentional disclosure of such information.

  2. Intellectual property preservation: If you're a content creator, protecting your PDF documents from being printed prevents others from copying, distributing, or reusing your work without permission.

  3. Resource conservation: Limiting document printing promotes greater awareness of resource usage, which in turn can result in cost savings and environmental protection.

  4. Document authenticity maintenance: Protection against printing helps maintain the original digital version of the document, preventing manipulation and text extraction.

ATTENTION  PDF protection applies only to documents within the My Documents Module and requires special licensing resources. If you're interested in activating this feature, please contact our Helpdesk team.
Documents are protected against printing and extraction through PDF encryption. If the file is in the original version (image below), the content of the file may be at risk as it will allow users to download the original file. This property can be changed in the document properties, however, by default, the opening by mode is set as PDF.

To use this functionality, proceed as follows:

  1. Ensure that PDF encryption is installed on your AGIR. To do this, contact our Helpdesk team.
  2. Open the document you want to encrypt and access its Properties (1).
  3. Activate the Enable PDF Encryption (2) option and click Save (3).

Your PDF document is currently protected against printing and extraction (copying of content) at this point. Despite the print icon being visible, printing the document will not be possible.

PERMISSIONS  To activate the Encrypt Document option, you will need Editor/Approver or Administrator permissions.
