Reading acknowledgment request

The Reading acknowledgment request feature allows employees to formalize their document acknowledgment.

This property is associated with the document. It is possible to activate or deactivate, by default through workflow configuration.

 

If this property is active, document acknowledgment becomes mandatory once the document reaches its final workflow step. 

This property is applied to each document review and a user who has permission to read the document.



How to activate this feature


1. Click on document Properties.

 


2. Select Require acknowledgment and Save changes.



3. Document acknowledgment becomes mandatory after you activate this property and save these changes. The document acknowledgment will be requested from the user, till the document acknowledgment is verified.

 


 TIP   The shown phrase to users can be defined on Agir Config. To do so, follow the instructions that will be presented further below.


4. To consult the Reading subscriber’s log, click on Subscribers and then Reading Log.




The reading pieces of evidence are displayed this way.

How to customize the acknowledgment sentence


1. Open Agir Config.



2. Select the Documents tab and click on Workflows.



3. Select the desired workflow. Check the Require Acknowledgement option and write the phrase you want to appear to the user. At the end click on Save.



 PERMISSIONS  To consult the Reading log list, you have to have document access permission. To activate the document confirmation request, you need Editor/Administrator permission. To customise the acknowledgment phrase, you need Administrator permission.


 TIP  Did you know that you can limit the list of users that you require to acknowledge new document revisions or publications? In the workflow settings, you can activate the Restrict acknowledge request to notify users only option (only Administrators). When activating this option, only users with Subscriber permission will be invited to acknowledge the document. This system allows all users with normal permissions to access the document, but only a restricted group (subscribers) has to acknowledge it.
