How to create and manage tasks/actions in workflows

Workflow tasks are tasks/actions which belong to workflow registries.


There are different types:


  • Strongly linked to the workflow registry- these are created directly from the registry. It's an internal task.
  • Checklist tasks- An x number of tasks that can be added to a process (Example: a complaint process includes duties such as replies to clients, sending back the product, making credit notes,...). It's an internal task. 
  • Linked tasks- These are tasks/actions which are linked to several workflows. They're considered a task/action which is external to the current workflow. Linked tasks are explained in this tutorial.


Tasks are identified by a gear icon. It's possible to know how many tasks the registry contains by looking at the icon's numbers. The number under the icon shows how many internal tasks exist. The number of external tasks is above.



By clicking on Tasks, you'll be provided with a list containing the tasks, organized in columns such as the task type, the issuer, the task owner, start and end date, its cost and the task status. You can consult and edit already existing tasks, create new tasks, add checklists and add link tasks from another workflow registry to the current one.



Consulting and Editing Tasks/Actions


1. Click on the task/action you intend to consult/edit. You can edit all of the fields: the task's description, type, the task issuer, start and end date, required costs and resources, execution date and the task status (which is quantified by the Execution % bar). You can also add some notes in the comment section on the right side. Once you're done with the changes, click on Save. Alternatively, click on Back to view the task list again.



Create a new task/action


1. Click on New task and fill in the fields as shown below. Once you're done, click on Save.



 TIP  you can add attachments to the task (as evidence of the task's execution), turn it into a cyclic task (once a week for example) and even link it to one of the internal tasks from the workflow registry.


Add Checklist


1. Click on Add Checklist and select the checklist which you intend to add.


 

2. Select the tasks you intend to add, or click on the grey bar checkbox to add all the tasks from the checklist. Click on Add tasks once you're finished.
